When you complete an onboarding submission through the Portal, we collect the following categories of information:
Company & Regulatory
- Carrier / company name
- MC number and USDOT number
- Physical and mailing addresses
- Fleet composition (reefers, vans, flatbeds, power-only)
Contact Information
- Dispatch contact name & phone
- Billing contact name & phone
- After-hours contact name & phone
Tax & Financial
- W-9 information (TIN/EIN)
- Legal business name
- Tax classification
Contract & Auth Data
- Electronic signatures and timestamps
- Signed contract PDFs
- Login and session activity
2 How We Use Your Information
- Verify carrier eligibility and process onboarding
- Generate, distribute, and maintain carrier contracts
- Communicate with dispatch, billing, and after-hours contacts
- Process tax documentation in compliance with IRS requirements
- Maintain records of signed agreements for legal and auditing purposes
- Notify you when new documents or contracts require review
- Improve and administer the Portal
3 How We Share Your Information
- Service Providers — Cloud hosting, authentication, and document storage vendors who assist in operating the Portal, bound by confidentiality obligations.
- Internal Departments — Navajo Express staff who require access to fulfill carrier onboarding, dispatch, and billing functions.
- Government & Regulatory Authorities — When required by law, such as IRS tax reporting obligations tied to W-9 data.
- Legal & Compliance — In connection with dispute resolution, contract enforcement, or audit.
4 Data Retention
We retain your information for as long as your carrier relationship with Navajo Express is active, and for a reasonable period thereafter as required for legal, tax, and contractual record-keeping.
5 Security
We implement administrative, technical, and physical safeguards to protect your information from unauthorized access, disclosure, or loss.
